Terms and Conditions
for Individuals & Small Groups Bookings and payments Bookings can be made by telephone, by e-mail or post if you have telephoned us first to confirm availability. When booking please tell us the mix of your party, the number of children and their ages. Bookings will not be accepted for guests under the age of 16 unless accompanied by a responsible adult. For 2006 prices are £15.50 per person per night regardless of age (price based on heads on beds basis). Sorry we don't have reductions for children as the hostel is small; prices are for heads on beds but we do not charge for babies up to 18 months in their own travel cots. Prices are as follows: (as at 01/01/07) Price per night per person from £16.50 regardless of age price per night Hostel Tariffs for 2007 Whole Hostel bookings 2007 Whole hostel booking means 24 beds = 24 people maximum. Any single nights from Sunday to Thursday are £375 per single night.
£397 in 2008 Please note we are already booked out for this year for Easter, Christmas and New Year2007/8 and all the bank holidays for 2007, but please do make enquires for subsequent years. (New Year 2009 is unlikely to be available for personal reasons). Large part hostel groups We usually only accept part hostel bookings at weekends during our quiet times as the hostel is reserved for full hostel groups at the weekends (Friday and Saturday nights) however do please ring us to check current availability and prices. If you have to cancel your booking, enlarge /reduce the number of beds booked, please inform us as soon as possible. Please note! You will be still charged for the original number of beds booked if we do not receive information at least 15 days before the take up date. Cancellations and Refunds! Whole and part hostel bookings If you cancel your booking more than 8 weeks before your arrival, we reserve the right to retain any deposit paid (£200 for whole hostel) to cover our administration charges and loss of business if we fail to re let fully. If you cancel within 8 weeks of arrival, the following cancellation charges will be made: 56-29 days 50 % When groups of 10 or more wish to book bed spaces, we reserve the right to ask for the first night's payment in full. For individuals and smaller groups we will hold a person's credit card details on file until arrival. On arrival the individual or small group can pay via cash, cheque with valid cheque card or by credit card. Should anyone fail to take up their booking and do not let us know 48 hours before hand then the proprietors reserve the right to charge the held credit card details for the failed booking. Please see cancellations. For group bookings (7 and above) made at premium times: half terms, peak holiday season, Christmas, New year, Easter, New Year and Bank holidays, payment is required for the first night in full at the time of booking. Please note that cancellations made require a minimum of 8 weeks' notice. It is recommended that you take out holiday insurance to cover yourself, particularly if a lot of you are coming. This can save a lot of expense on your part should you or members of your party be unable to come. They also take group bookings for insurance purposes. Please note that the insurance companies usually require this to be done at the time of booking your beds at the hostel. Please ask for details or follow this link. www. tpstravelinsurance.com Cancellations and variations to the numbers of beds booked:- Cancellations of individuals and small groups (6 people or less) You must give 48 hours clear notice from 12 noon of day of booking. If more than 48 hours notice then no charge will be taken. Less than 48 hours we reserve the right to charge the credit card held on file for the full amount. Please note that if you arrive with a reduced number in your party and not previously advised us 48 hours before then the full cost of your booking will still apply. However the telephone, sauna and drying room are in shared use with the cottages guests who have access to these facilities. It should be pointed out that these facilities are rarely used and tend to be confined to the phone only. We have staff who help us and they have the use of the washing and showering facilities on the lower ground floor. Sole Use of the hostel As the hostel reception and office is in the main part of the building we need to have access to these at all times. This means that sole use refers to the habitable rooms only, ie. bedrooms, bathrooms, kitchens/dining room and the studio common room. However the telephone, sauna and drying room are in shared use with the cottages guests who have access to these facilities. It should be pointed out that these facilities are rarely used and tend to be confined to the phone only. We do have staff who work for us and use the washing and showering facilities on the lower ground floor; we also need access to the hostel for servicing. Allocation of rooms and beds This is subject to availability and the proprietors' discretion. Beds/rooms are let on a bed basis only. The kitchen is self catering. We normally try and allocate rooms so that we fill the room with the same family or group. As this is a hostel our efficiency to run budget accommodation depends on having full occupancy. Therefore if we cannot allocate at the time of booking a room that gives full room occupancy then we will endeavour to let the spare beds in the allocated room to other guests who may be of either sex. It is quite usual to find that your room is not fully occupied and you can enjoy the room to yourself. However we do ask that you do not spread your personal items onto other unoccupied beds. If you require a single sex room then please let us know when booking, not on arrival. We will try to arrange this for you. Otherwise please accept that rooms may well turn out to be unisex rooms. Please note that all bedrooms have an ensuite bathroom except Helvellyn which has its' own bathroom next door. Should you require full privacy when a room is not fully occupied then it is normally possible to pay for the unoccupied beds to ensure your groups or families privacy. Where families have young children we always try to allocate a room specifically to the size of the family; where we cannot achieve this, please ask us about other arrangements when booking. Families with babies are most welcome and we can usually provide a travel cot but this must be requested when booking. Acceptance of Bookings We reserve the right to decline to accept a booking, or refuse to hand over the Hostel to any person or group where, in the opinion of our representative, the facilities are not suitable for the hirer or any member of the hirers party, without liability on either side. In such cases we shall not be liable to make any refund of any portion of the hire fee paid. Group Leader The Group leader/person in charge of the group or person who made the booking on behalf of the group will be referred to as group leader. The group leader/s responsibilities are to be:-
Bikes and Bike Storage Our bike store is in the building right next door to the Hostel. We are happy to store your bikes for a minimum donation of £1 per booking to the Conservation Partnership charity box. We ask that you lock the cycle shed at all times when unattended. Please return the key after use! Please ask where you may wash your bikes off. Car Parking We ask everyone to try and travel together in groups rather than individuals in their own cars for environmental reasons and to prevent unnecessary car parking congestions. We can, with care, park 8 to 9 cars side by side in the hostel car park. If there are more cars requiring parking then it is possible, providing everyone parks near the wall, to fit at least 3 more cars immediately behind in a sideways manner. Should you still require more spaces then it is possible to fit a further 2 cars near to the entrance of the car park. Should this be full then it is possible to fit a further 2 cars rear to the entrance of the car park. Please ask should you require this. As we need to ensure that the entrance is not blocked for emergency vehicles and also for from vehicles such as tractors & trailers who required access at all times.
Games Those in charge of children and teenagers/youths; please ensure that they understand that no ball games can be played here for safety reasons. In addition they must not be allowed to climb any walls, gates or enter fields. Lakeland walls are built in a unique jigsaw fashion and mostly without mortar, and are liable to collapse without warning if climbed. These walls can cause serious injury when collapsing. Use of the Sauna The sauna is coin operated. Due to misuse, insurance conditions now require the owners/staff to lock and unlock the sauna immediately after each groups' session. It is available from 8 am - 9 pm. We have rules in place for two reasons: 1/ health and safety and 2/ for insurance purposes. We do remind you that if you have children, that those under the age of 18 are not allowed to be in the sauna. Additional safety instructions are listed on the sauna wall. Animals We ask that all guests do not enter the animal enclosures (including fields) without being accompanied by hostel staff. We cannot be held responsible for any injuries/accidents caused by the animals on the farm. Pets Please note that only registered service dogs are allowed in the hostel; we do however request that group leaders tell the proprietors at the time of booking that service dogs will be present on the premises. This is to avoid allergy problems for other guests. Dogs kept in cars will only be allowed at the proprietors discretion please ask before bringing them. Unfortunately we cannot allow any other animals on the premises. Valuables The proprietors of Broadrayne Farm cannot be held responsible or held liable for any damage or loss suffered, or sustained to any vehicle it's contents or personal belongings whilst on the premises of Broadrayne Farm. Padlocks are available for the lockers on request. However we are willing to store valuable items such as cameras, small computer equipment etc... at your own risk. Conduct of individuals and groups Please note we are in a quiet location with visitors who have come especially to enjoy the peace and solitude of Broadrayne Farm. We therefore ask our hostel guests to keep noise levels both outside and inside within reasonable limits. Sounds travel long distances in the countryside disturbing other occupants of the farm. This is particularly so at night. The proprietors understand that hostel guests may wish to consume alcohol, please keep drinking within reasonable limits to avoid other guests being disturbed. Please respect other peoples sleeping patterns; many of our guests have children, they may have travelled long distances or have had tiring days on the mountains. No Smoking policy - Candles, storage of inflammable materials and fireworks Please note the hostel is a strictly no-smoking establishment. Guests wishing to smoke are requested to do so outside. Candles joss stick and primus/gas stoves are not permitted due to fire risks. We ask you not to use them or store them on the premises. Please ask for storage arrangements. No fire works whatsoever! Servicing of the hostel Either staff or proprietors service the bathrooms daily to ensure you have toilet rolls and a clean bathmat. However if you are still occupying the bedrooms beyond 10am it may be impossible for us to do this and therefore it may not get done that day. We also check Fire escape routes and empty the kitchen bins. Arrival & Departure Times The hostel is normally open from 7.30 am - 10.30 pm for bookings and registration. Access to booked rooms/beds is normally available from 2 pm onwards. However we are willing to store your luggage until the room is ready for occupation. Once paid and registered, occupants will be given and outside key and bedroom key, which ensures 24hr access to the hostel. Please vacate your rooms promptly by 10am on the day of your departure, returning all keys to the reception office and ensure that you have collected all your belongings. We are not responsible for anything left behind. If convenient we will store your pack on your departure day. All we ask for is a donation to the Tourism and Conservation Partnership charity which is helping to maintain and restore rights of way in the Lake District. Please note that all rooms must be left tidy for future occupants of the room. Please keep excess baggage out of everyone's way for safety. It is difficult for us to show subsequent guests their bunk bed/ bedroom when people have their gear on it. Please note that we charge for unoccupied beds that are used or made untidy. Kitchens and other public areas must be left clean. All cleaning materials and tools are provided for your use. The kitchen is available to departing guests until 11 am. The proprietors reserve the right to charge for property damage. Should anyone not observe the above terms and conditions, the proprietors reserve the right to cancel the booked accommodation and retain any monies paid for subsequent nights. Groups should also make themselves familiar with the statements on the group accommodation page. The hostel is let on the understanding that the above terms and conditions will be observed in full. The proprietors reserve the right to change the above terms and conditions without notice.
